# Analysis grid and reanalysis The standard grid, reanalysing a period, and why a conversation is not analysed

An analysis grid tells Natalia how to score, sort and summarise your conversations. With the Analysis option, a standard grid is ready from the start, with nothing to set up. Once you change a grid, you can reanalyse a past period with it.

## The standard grid

Every organisation with the Analysis option receives a grid named "Standard grid", organisations that already had the option included. It writes a summary, chooses a category and scores each conversation from 1 to 5 on four criteria.

### Request handled

Did the caller's request get an answer or a solution?

### Politeness and tone

Was the caller welcomed with courtesy, clarity and attention, from start to finish?

### Accurate information

Was the information given right and precise, with no promise that cannot be kept?

### Clear next step

Does the caller know what happens next (callback, sending, appointment)?

Its six categories: Information request, Appointment, Order or quote, Complaint, Case follow-up, Other.

The standard grid covers every conversation that no other grid covers, including the contact points and agents you create later. A grid assigned to a contact point or to an agent always takes precedence over it.

Change it, it stays

The standard grid is changed like any other grid: criteria, categories, summary and extracted information. It cannot be deleted, so an organisation with the option always has a grid. Your grids open from the "Analysis grids" button of Trends, Quality.

## The first analysis

When the standard grid is created, or when you assign a grid, Natalia analyses the conversations that grid now covers. It takes those that ended in the last 30 days and were never analysed, 200 at most, most recent first.

This first analysis is followed like a reanalysis (see below), under the banner "First analysis of your conversations with the grid". Each conversation is debited from your Analysis option like any analysis.

## Change a grid, then reanalyse

A change to a grid applies to the next conversations. The ones already scored keep their score as long as you do not reanalyse them, and the grid page says so under its name ("Modified on…").

To apply the new version to the past, open the grid and click "Reanalyse the conversations", at the top of the page. Reanalysing requires the Administrator role. Then choose the period in the list or on the calendar:

-   Last 7 days
-   Last 30 days (chosen by default)
-   This month
-   Last month
-   Last 3 months
-   Last 12 months
-   All history

The reanalysis takes the finished conversations of the period that the grid covers today. Before you start, the dialog shows what it costs:

-   **To reanalyse.** The number of conversations and their minutes of conversation.
-   **Monthly volume of your Analysis option.** What is already used this month, what this reanalysis takes and what remains after it. When the reanalysis goes beyond the volume, the excess is billed at the overage rate, up to your spending cap.
-   **Conversations past your retention period.** They no longer have a transcript. The preview counts them apart, and they are not reanalysed.
-   **Your team's corrections.** They stay in force, and the corrections log is kept.

The button gives the count, for example "Reanalyse 120 conversations". A grid runs one reanalysis at a time.

## Follow the progress

While it runs, a banner replaces the button on the grid page. The same banner, naming the grid, shows at the top of Trends, Quality. It counts the conversations done and estimates the time left, for example "12 out of 40 conversations analysed, about 3 min left".

A conversation waiting for its turn keeps its previous analysis until the new one replaces it. Its page says "Being reanalysed with the grid…" and links to the progress.

## Stop, start again, retry

"Stop the reanalysis", on the banner, asks for a confirmation. The stop falls between two conversations, and nothing goes back.

The conversations already reanalysed keep their new analysis and stay debited. The others keep their previous analysis, unchanged, and are not debited.

The grid page then shows "Reanalysis stopped" with the count done. To go on, start a new reanalysis. It covers the whole period you choose again, conversations already reanalysed included.

When the Analysis option refuses a conversation (monthly volume used up, spending cap reached), the reanalysis stops by itself. The remaining conversations are neither analysed nor debited.

A reanalysis that ends cleanly leaves nothing on the page. If some conversations failed, the page gives one line per cause (analysis service unavailable, answer that does not match the grid, conversation without a transcript) and a single "Retry the failed conversations" button. A conversation the grid no longer covers is skipped and counted apart.

## Why a conversation is not analysed

On the page of a finished conversation with no analysis, one line gives the reason, with the link that fixes it when there is one:

-   **"Analysis planned: it starts as soon as the transcript is ready."** Nothing to do. The conversation is covered by a grid and its analysis has not started yet.
-   **"Not analysed: this conversation took place before your analysis grid was set up."** It ended before its grid covered it, and outside the 30 days of the first analysis. The "Reanalyse the conversations" link opens the reanalysis of the grid that covers it today.
-   **"Not analysed: the monthly volume of the Analysis option is used up."** Raise your spending cap, or see your subscription.
-   **"Not analysed: the Analysis option is stopped."** The link leads to your subscription.
-   **"Not analysed: no analysis grid covers this conversation."** The link leads to your analysis grids.
